How we rank firms
PropertyManagementSearch tracks 2,661 management firms across 205 cities. Here is exactly how we order them and where every number comes from.
1. City and property type lists
Every list is ordered the same way:
- Featured placements first, always labeled (coming soon; none are sold today).
- Verified Firms next: firms we matched to an active state license.
- Then Google rating weighted by review volume (rating times reviews, with reviews capped at 500), so a 4.8 with 300 reviews outranks a 5.0 with 4.
- Ties go to firms with more reviews, then to firms with a researched profile.
2. The Verified Firm badge
Florida requires firms that manage community associations to hold a community association management firm license. Each week we load the state's public license file and match licenses to listings by firm name and location. A listing gets the Verified Firm badge when the match is strong and the license is current. Profiles show the license number, the date it was first issued, and its expiration date, with a link to check it on MyFloridaLicense.com.
3. The "highest rated" summary
The summary at the top of each city page names the highest-rated firms with a meaningful number of reviews: at least 25 Google reviews, or 10 in smaller markets where fewer than three firms reach 25. They are sorted by star rating, then review count.
4. Market rank on firm profiles
Each profile shows a rank such as "#12 of 98 management firms we track in this city." It comes from a 100-point score built only from public data:
| Factor | Points | What it measures |
|---|---|---|
| Review volume | up to 40 | Number of Google reviews on a log scale, so the first 100 reviews count more than the next 100. About 1,000 reviews earns the full 40. |
| Google rating | up to 20 | Star rating times 4, so a 5.0 earns 20 and a 4.5 earns 18. |
| State license | 15 | We matched the firm to an active state license for community association management firms. |
| Website | 10 | The firm has its own website we can verify. |
| Team size | up to 15 | One point per professional we can see working at the firm in public professional data, capped at 15. |
5. Where the data comes from
- State license records: Florida DBPR community association management firm licenses.
- Google Maps: firm name, address, phone, hours, categories, star rating, and review count.
- The firm's own website: services and social profiles. Profile summaries are written by AI from this public website content.
- Public professional data: how many people we can see working at the firm.
- Firms themselves: details submitted when a firm adds or claims its listing.
6. What we do not do
- We do not host, edit, or remove reviews. Ratings are Google's.
- We do not sell license badges, ratings, or scores.
- We do not hide firms for not paying. Every firm we find is listed free.
FAQs
What does the Verified Firm badge mean?
It means we matched the listing to an active state license for community association management firms. In Florida, we compare each listing with the Department of Business and Professional Regulation (DBPR) license file by firm name and location. It does not mean we inspected the firm or endorse it. Always confirm the license yourself before signing.
Can a firm pay to rank higher?
Featured placement is coming soon. When it launches, Featured firms will sit at the top of their city lists with a visible Featured label. Payment will never change a firm's license status, Google rating, review count, market rank score, or the "highest rated" summaries.
Where do the ratings come from?
Star ratings and review counts are Google Maps data, shown with attribution. PropertyManagementSearch does not host, edit, or filter reviews. Many Google reviews come from residents rather than boards, so read them alongside the license, proposals, and calls to current client boards.
How often is the data updated?
Listings come from regular market crawls, firm profiles are researched on a rolling basis, and state license records are reloaded every week. Every city, state, and profile page shows the date it last changed.
